Resources Troubleshooting
Last updated: October 8, 2026
Most Resources questions in a school's first month trace back to one switch, one missing record, or one rule. Find your symptom below; each fix names the setting or record that causes it.
Resources is not in my admin menu
Resources is an add-on that Housing Cloud switches on per school; schools cannot turn it on themselves. If the menu lacks a Resources section, or a Resources page refuses you, either the add-on is not on for your school or your role lacks the View resources permission. Resource Settings additionally requires the Manage resource catalog permission, so a role can have View resources and still be denied there.
Students say there is no Resources tab in their portal
The resident portal setting is off. Enable the resident portal in Resource Settings starts off and must be turned on before residents see anything, even with the add-on on.
A student cannot see an item they should be able to borrow
No audience rule on that resource type matches them. Rules match by tags, application cycles, and roles, and any matching rule allows the borrow. A rule with no conditions matches everyone. If Show resources a resident cannot borrow is on, the student sees the item greyed out instead of hidden.
Students cannot reserve an item online that they can borrow at the desk
The type is Walk-up only. Desk-only items are lent on the spot at the front desk and never appear as online booking options; switch the reservation mode to Reservable if you want online booking.
The room type says it has no units and cannot be reserved
No units were added for a type that requires them. Only resource types whose tracking mode requires units need at least one unit before they can be reserved; add the item as a unit under Resource Units. Bookable spaces are the exception: a room can be reserved without a physical handover unit.
A student could not book a day the room should be open
A blackout probably covers it. Check Resource Blackouts for a closure on that resource and those dates; the blackout's reason is what the student would have seen. Cancelling a blackout removes it completely.
A reservation request disappeared
Nobody approved it before its window ended, so it expired on its own. Work the Awaiting approval tile daily to keep this from happening.
The desk will not hand an item over
The desk refuses a pickup outside the booked window, when an agreement is not complete, when the scanned unit does not match, or when the borrower is blocked. Each override, such as accepting a mismatched scan or lending outside the rules, needs the override permission and a reason.
The room booking never shows a Pickup button
Rooms are never picked up or returned: a room booking starts and ends on its own. The desk's rooms track shows it as starting, in use, or finished, with Open booking to view it.
The late fee never reached the student's account
Two common causes. The fee is held for review because Post late fees automatically is off, so a staff member still needs to post it. Or no late-fee charge code exists on the type or in the settings, so nothing was created to bill.
The late fee is only five dollars even though the item was two days late
Late fees are flat and charged once per loan, not per day, no matter how late the return is. The amount comes from the resource type or the settings default.
A damaged return was not charged
No damage charge code exists on the type or in the settings. The damage is recorded on the reservation, but nothing bills until a code exists; set one and future returns bill.
A student cannot return an item at our desk
The item belongs to another desk and Allow returns at any desk is off. With it off, items return only to the desk they came from.
Our reports library has no Resources folder
The ready-made Resources reports are added by Housing Cloud per school. Ask Housing Cloud to add them; the report builder's Resources data is available either way.
