Test Drive troubleshooting

Last updated: October 8, 2026

Most Test Drive problems are waiting problems: the profile is still building, a change was staged but never applied, or the date moved because a colleague is in the same test profile. Match your case below.

The panel shows "Setting up applications and linked test records…"

The test profile is still being built. This appears right after creating a test drive, with the rest of the panel faded and not clickable. Wait and check again every 30 seconds; setup can take a few minutes. When the line disappears, confirm the ready signals: the amber border, the SIMULATED VIEW label, and the panel with the SIMULATING pill and no loading bars.

"Simulation controls couldn't load"

The panel failed to load its controls. Click Try again once and wait 20 seconds. If it still fails, reload the page once and wait 30 seconds. If the error keeps coming back, report it to Housing Cloud support with a state snapshot: expand Session activity in the panel and use Copy state snapshot for a bug report.

The test profile creation failed

If a creation-failed notification appears instead of the ready notification, the profile creation normally failed and the test profile was removed. When cleanup also fails, the partially created profile remains in FAILED status and can still be impersonated by an authorized admin, but it needs manual cleanup. Run the wizard again from the source student's profile. If it fails repeatedly, contact Housing Cloud support.

I changed the date but the portal didn't change

Date moves are staged first and only take effect when you click Apply. The SIMULATED VIEW label can show the new date before the portal behind it has caught up, so a changed label with an unchanged page usually means the change was staged but not applied, or the portal needs a moment. Click Apply in the unsaved-changes bar, wait at least 15 seconds, and reload the page once if the portal still shows the old state.

The date moved on its own

Someone else is impersonating the same test profile. The clock belongs to the test profile, not to you: every admin impersonating the same [TEST] profile sees and moves the same simulated date. Create a separate test drive for each person testing.

The admin portal still shows today's date

That is by design. Only the test profile's portal moves in time: admin pages always show the real date, and scheduled background processes such as automatic reminders or nightly jobs also run on the real date.

Did that email really send?

Yes. Anything the portal sends while you test really sends, to the test profile's Notification Email. If you left that blank in the wizard, the test profile has no email address and the message goes nowhere; the real student's email is not copied. Roommate (co-resident) assignment notices are not sent for test profiles.

I'm still impersonating after I left Test Drive

The impersonation session outlives the browser tab. Open any admin page: a banner reads Viewing the student portal as [name]. Click Exit impersonation on it.

The test profile disappeared

Auto-delete ran. The Auto-Delete Schedule set in the wizard (24 hours by default) removes the test profile automatically, checked every 15 minutes. Run the wizard again from the source student's profile to create a new test drive: see Run a Test Drive: create a test profile.
