Candidate Emails and Notifications

Last updated: October 8, 2026

Recruitment keeps candidates informed as their applications move through hiring, and it tells job owners and interview conductors about assignments, reminders, and offer answers. Two of these messages are yours to word: the status message and the stage message. The remaining notices are school-wide, and deliveries can be checked in Communications → Notification Logs.

Status and stage messages

A candidate receives a status message when their application moves into a status that sends notifications, and a stage message when they move into a stage that sends notifications. The status message is worded on the status in Recruitment's Configuration. The stage message is worded on the stage in the job.

Each setting, Send Notification to Candidate, can be enabled, disabled, or muted until a date (Mute Until), and carries your own message text, a priority, and Delivery Methods. A status or stage with notifications disabled or muted sends nothing.

Until you change them, the messages read:

  • Status: "The status of your application for {{jobTitle}} has been updated to {{status}}."

  • Stage: "Your application for {{jobTitle}} has progressed to {{stepName}}."

Status message text can use the merge fields {{jobTitle}} and {{status}}. Stage message text can use {{jobTitle}} and {{stepName}}.

Notices to candidates

Beyond the messages you word, candidates receive these school-wide notices:

  • Application Status Update, when an application moves into a status that sends notifications

  • Application Progress Update, when an application moves into a stage that sends notifications

  • Application Sent Back, when the hiring team sends an application back for changes

  • Interview Scheduled, when an interview is booked, by the student or by an admin

  • Interview Sign-up Open, when a candidate moves into a round that allows self-scheduling

  • Interview Reminder, about 24 hours before a booked interview

  • Interview Cancelled, when an interview the candidate was booked for is cancelled

  • Job Offer Received, when an offer is sent

  • Offer Withdrawn, when a pending offer is rescinded

Notices to owners and conductors

Job owners and interview conductors receive their own notices:

  • Interview Assignment, when staff schedule an interview they conduct; when the candidate self-schedules, conductors receive Interview Booked instead

  • Interview reminders and cancellation notices for conductors, with reminders arriving about 24 hours before the interview, the same as the candidate's

  • Offer Accepted, when a candidate accepts an offer for a job they own

  • Offer Declined, when a candidate declines an offer for a job they own

  • Offer Expired, when an offer for a job they own passes its respond-by date

Interview reminders

Booked interviews send reminders about 24 hours before the start time, to the candidate and to the conductors. An interview booked less than a day ahead sends no reminder.

Messages you send yourself

Admins can message a candidate directly with Send Message, on an individual candidate or in bulk from the Candidates page. Cancelling an interview with Cancel automatically sends the candidate the configured Interview Cancelled notification; the cancellation dialog does not offer a separate candidate-notification option. After an admin sends a message, an Undo countdown may appear.

Check what was sent

Check deliveries in Communications → Notification Logs. When a candidate reports a message that never arrived, the log is where to look.
