Roles and Permissions for Hiring Managers, Reviewers and Interviewers
Last updated: October 8, 2026
At Maple Hall… Alex Moreno reviews applications and sits on the group interview but shouldn't edit jobs, and Pat Nguyen owns one summer job. Jordan Lee works out who needs a role and who just needs to be assigned.
Recruitment permissions live in the Recruitment group of the role editor under Setup → Roles. The group only appears when Recruitment is switched on for your school. Most hiring work needs assignment rather than a role: only a few actions require a permission from this list.
The Recruitment permissions
The Recruitment group contains exactly ten permissions:
View HR dashboard
View job postings
Create, edit, and manage job postings
View all candidates
Edit all candidates information, tags, and application status
View all interview schedules
Schedule, reschedule, and manage all interviews
View all HR forms
Create and edit all HR forms
Access and modify HR configuration settings
What manage permissions include
Each "manage" permission includes its matching "view" permission: granting Create, edit, and manage job postings also grants View job postings, so the manage permission alone covers both.
What job owners can do without a role
The owner of a job can move, update, tag, send back and send offers to candidates on their own job without Edit all candidates information, tags, and application status. Owners also receive the offer accepted and declined notices for their job.
What reviewers and conductors can do without a role
Reviewers and interview conductors need no role at all. Being assigned is what opens their access: the Dashboard tabs My Assignments and Calendar, plus the Candidates and Interviews pages for their own items.
Review feedback can only be submitted by an assigned reviewer. An admin with every Recruitment permission cannot submit it instead, and admins cannot be impersonated, so nobody can enter feedback for someone else.
The interview permission gotcha
Booking, rescheduling and cancelling interviews, and entering interview feedback, all require Schedule, reschedule, and manage all interviews. This applies even to job owners and conductors, so give interview conductors a role that includes it.
Messaging permission
Sending a message to candidates, one at a time or to several at once, needs the Send messages directly from Housing.Cloud permission.
Who needs nothing
Applicants need no permission and no role. Any portal user who matches a job's applicability tags can apply.
