How to Create a New Key
Last updated: October 2, 2026
Housing.Cloud allows admins to issue, track, and replace keys for residents. Admins can also manage bill for lost keys and lend out a temporary key. Keys are usually set up by admins using a bulk import, but it's also possible to create a new key manually. In this article, we will walk through that process.
1. Click on Inventory in the navigation panel.
2. Click on Keys.
3. Click on the +Add Key button.
4. An Add New Key pop-up appears. Give the new key a unique ID (required field). For example, if the key is a standard physical key, enter the engraved key ID or whatever your institution uses to track the key. For a key card or key fob, enter the card identifier as the ID.
5. Choose the key type in the dropdown (optional). You can choose between a physical key, key card, fob key, or digital card.
6. Toggle the Master Key option if this is a master key (a master key opens all locks).
7. Select the specific room/suite/building that the key opens by toggling the sliders.
8. For each room/suite/building you choose, use the search box to locate the specific piece of inventory by entering its ID. For example, enter a room name (i.e. "201A"). Matches will appear.
Notice that the suite and building are auto-populated in the results to help you choose the right unit.
9. If a key opens multiple doors -- like a single key that opens a room door, suite door and building door, continue toggling and selecting the matching units. Once done, click "create" to finish.
The new key will appear on the Keys dashboard.
