Change Room and Bed Variations

Last updated: August 28, 2026

Room and bed variations help categorize housing inventory and support billing accuracy. Room variations define the layout or structure of a space (e.g. Double, Staff Suite, Overflow Housing), while bed variations are tied to charge codes and determine the actual cost of a housing assignment.

Admins can update variations one by one or in bulk. Bulk changes are useful when several rooms or beds are being reclassified in the same way — for example, converting a group of doubles to premium singles. For one-off updates, variations can also be updated directly from an individual room or bed view.

Reminder: Bed variations control billing. If you’re updating pricing or cost categories, be sure to adjust bed variations. Room variations are used for inventory organization and reporting.

Bulk Change Room or Bed Variations

Navigate to the Inventory section of the admin portal.

Select either Rooms or Beds from the inventory options.

Select one or more rows from the data table.

Note: All items selected in a bulk update must be assigned the same variation. You cannot apply different variations to different items in a single update.

Click the three-dot icon (⋮) to open additional inventory actions.

Select Update Variation.

Select the new variation from the dropdown list.

Click Update to apply the change.

The bulk variation change is now applied to the selected items.

Individually Change Room or Bed Variations

Navigate to the individual room or bed that is to be updated.

Click Edit.

Select the new variation from the dropdown list.

Click Save to apply the change.

The new variation is now applied to the individual room or bed.

Common Errors

If you encounter an error when updating a room variation, it’s likely due to a capacity mismatch between the room and the selected variation.

A room variation cannot be applied if the number of beds in the room exceeds the variation’s max occupancy. This ensures inventory rules stay consistent and prevents over-assigning a space.

To resolve this:

- Increase the max occupancy of the Room Variation in the Setup section.

- Or remove beds from the room until the total number of beds is less than or equal to the variation’s allowed capacity.
