Create and Customize Reports
Last updated: August 28, 2026
Custom reports allow housing administrators to build views that match their institution’s needs—whether that’s tracking student assignments by building, generating billing summaries, or monitoring open bed availability. The report builder offers flexible tools to organize data, apply filters, and visualize patterns using your institution’s real-time records.

When you enter the Reports section in the Admin Portal and no saved report is selected, the system will automatically display a blank builder view so you can begin building right away.
Start with the Layout
The report builder is divided into four sections that determine how your data is organized and displayed.
-
Rows group the data vertically. For example, placing Building Name in Rows will show one row per building.
-
Columns create horizontal groupings, useful for comparisons like total assignments by term or room type.
-
Metrics calculate values such as totals or counts. Adding a metric allows you to generate summaries or charts.
-
Filters limit which records are included in the report without changing the structure.

Use the left-hand panel to search for fields and drag them into these sections. As soon as fields are added, the report updates in real time.

Use Attributes to Group Data
Attributes define the categories your report will display. These are labeled with an “ABC” icon in the field panel and include values like:
-
Term
-
Building Name
-
Room Type
-
Student Status

Drag attributes into Rows to organize the data vertically, or into Columns to break it out horizontally. You can also add attributes to Filters to narrow results. A report built entirely from attributes shows a raw, unaggregated list, ideal for rosters or exports.
Add a Metric for Totals or Summaries
Metrics tell the system what to measure. These fields appear with a calculator icon and include options like:
-
Count of Students
-
Count of Assigned Beds
-
Total Cycle Fees

Drag a metric into the Metrics section to generate totals or summaries. You can now visualize trends, export aggregated data, or switch to a chart view. Without a metric, your report is treated as a detailed list. Add at least one metric if you want to display group totals or generate visualizations.
Choose a Display Type
The top toolbar lets you switch between display formats:
-
Table for detailed rows of data
-
Bar or Pie Chart for comparisons across groups
-
KPI for a single-number summary
Use tables for rosters and exports, and switch to charts when you want to present data visually. You can toggle back and forth without losing your layout.

Reports must include at least one metric to use a chart format. For example, to chart students per building, add Count of Students to Metrics and Building Name to Rows. Without a metric, the system won’t know what to visualize.
Save and Reuse Your Report
Click Save to store the current report layout, including fields, filters, and display type. Use Save As New to create a duplicate without affecting the original report.

Saved reports appear in your institution’s Reports list and can be reopened or modified at any time.
