Troubleshoot Fee Payment Issues
Last updated: October 5, 2026
Housing cycle fees are an optional feature that allows institutions to apply one-time charges based on specific actions within the housing process—such as submitting an application, receiving approval, or being assigned a bed. These ad-hoc charges provide additional flexibility and do not replace your institution’s standard billing structures for housing or meal plans. Fee functionality is only available if your institution has integrated with a supported payment provider.
Learn how to configure housing cycle fees here.
Fee payments are processed through your institution’s third-party payment provider (such as TouchNet). Once triggered, a fee enters Pending status until Housing.Cloud receives a response from the gateway. If a student reports issues submitting payment, there are a few common areas to investigate.
Understand Payment Statuses
Each payment submitted through the student portal will show one of the following statuses:
-
Pending: A payment attempt has been initiated, but the system has not yet received a success or failure confirmation from your payment gateway. This may happen if the student never completed checkout, if their payment method was declined mid-process, or if a technical error occurred.
-
Success: The payment was received and confirmed by your gateway.
-
Failed: The student attempted payment, but the gateway returned a failure (e.g., insufficient funds, expired card, or declined method).
Pending payments will remain in this state until your gateway responds with a final status.
Check for Common Issues
If a student reports trouble submitting payment or their fee shows as “Pending” for an extended period, try the following:
Confirm Student Behavior
-
Ask the student whether they reached the final confirmation step of the payment process.
-
Request a screenshot of any error message or system behavior they experienced.
-
Confirm the payment method used (e.g., credit card, debit card, linked service such as Apple Pay or Venmo). Some institutions have seen issues with less common methods.
Review Admin Portal Details
-
Navigate to the student’s Application or Profile and locate the payment status.
-
If no transaction ID or timestamp appears, the payment may not have reached the gateway.
-
If the status is “Failed,” the gateway has returned a decline code.
Coordinate With Your Payment Gateway
-
Provide your payment gateway support team with the student’s name, email, and any available transaction references.
-
Let them know the student’s payment is showing as “Pending” in your system, and ask if they can identify an incomplete or blocked transaction.
Clarify Pending vs. No Attempt
When a fee payment is generated based on your housing cycle settings, the payment status will initially appear as Pending. This status indicates that the charge has been created, but Housing.Cloud has not yet received any update from your payment processor regarding student activity.
A Pending status may appear in the following situations:
-
The student has not yet attempted to complete payment.
-
The student opened the payment portal but exited before submitting.
-
A payment was submitted but the gateway has not returned a success or failure confirmation.
-
An error or disruption occurred that prevented a response from reaching Housing.Cloud.
Even if a student does not take any action, the charge will remain in Pending until a definitive status (such as Success or Failed) is returned by your gateway.
When to Escalate
Most fee-related issues will require review by your payment provider first. If you see consistent Pending statuses with no updates, or if students report issues completing payment, contact your gateway provider to confirm transaction logs and error responses.
Escalate to Your Payment Processor
Contact your gateway provider (e.g. TouchNet, Stripe, or another integration) if:
-
Multiple students are experiencing issues completing payment.
-
You see a high number of Pending payments with no associated transaction data.
-
Students report specific gateway errors or blank screens when attempting to pay.
-
You’re unable to identify a confirmation or error response in your payment system logs.
Gather transaction IDs, student names, and any available screenshots or timestamps before reaching out to your processor.
Escalate to Housing.Cloud Support
If your payment processor is unable to resolve the issue or provide a clear reason for the behavior, reach out to Housing.Cloud support when:
-
A student has successfully completed checkout, but the fee status remains Pending.
-
You need help interpreting logs, status details, or understanding how Housing.Cloud is processing or waiting for gateway responses.
-
You’re seeing a consistent pattern of unexpected behavior across multiple students, and need help identifying whether the issue stems from configuration or a system-level process.
Include any supporting details like student names, profile links, timestamps, screenshots, or known gateway error messages to speed up troubleshooting.
