Add Checklist Items for Application Review
Last updated: August 28, 2026
Checklist items are staff-facing reminders that appear when reviewing applications in a housing cycle. Use them to standardize multi-step review workflows, such as verifying emergency contacts, checking uploaded documents, or confirming compliance tags.
These items are visible only to administrators during application review, students never see them. Each checklist item appears as a checkbox that staff can mark off as they complete review tasks.
Checklist items are optional reminders. You can add as many or as few as your review process requires.
Navigate to Application Settings
Open the Admin Portal and go to Cycles. Find the housing cycle you want to edit and click the pencil icon in its row to open the cycle editor.
In the cycle editor, select Application Settings from the sidebar or settings cards. Scroll to the bottom of the page to find the Checklist Items section.
Add Checklist Items
Click the Add Item button (marked with a + icon) to create a new checklist entry. A text input field will appear where you can type your reminder text.
Write clear, actionable reminders that describe what reviewers should verify or complete. Examples include:
- Verify emergency contact information is complete
- Check that all required documents are uploaded
- Confirm student has no outstanding housing holds
- Review special accommodation requests
Keep checklist items specific and concise. Each item should represent one discrete task in your review workflow.
Reorder and Remove Items
Checklist items appear in the order you set them. To reorder an item, click and drag the grip icon (six dots) on the left side of the item to move it up or down in the list.
To remove an item, click the X button on the right side of the item you want to delete. The item will be removed immediately from the list.
Note:Changes to checklist items are saved when you save the cycle settings. If you navigate away without saving, your changes will be lost.
How Checklist Items Appear During Review
When staff open an application for review, the checklist items you configured appear as checkboxes in a dedicated Checklist section. Reviewers can check off items as they complete each task.
Progress is saved automatically for each application, so multiple reviewers can track what has been completed. Checklist responses are tied to individual applications, not to the reviewer.
When to Use Checklist Items
Checklist items work best for cycles with complex application requirements or multi-person review workflows. Consider adding them when:
- Applications require verification of multiple data points
- Your team needs to ensure consistent review standards
- Applications involve compliance checks or special populations
- Multiple staff members review the same applications
For simpler cycles with straightforward accept/deny decisions, you may not need checklist items at all.
Note: Checklist items are cycle-specific. You can configure different checklists for different housing cycles based on each cycle's unique requirements.
