Manually Assign Applicant(s) to Bed(s)

Last updated: August 28, 2026

Admins can manually assign an entire roommate group to a room through the assignment interface. This process gives you full control over placing students together based on their roommate matches, housing preferences, or community needs.

Whether you’re assigning a single applicant or multiple applicants across, this tool allows you to make precise assignments at the bed level while reviewing important details like room availability, pricing, and any ruleset violations that may apply.

Choose An Applicant

Navigate to Applications in the admin portal.

Search for and click on a student’s name to open their application.

In the student’s application, scroll down to Current Assignment.

Current Assignment will show any previously assigned spaces to an applicant for the specific cycle application.

Click Assign Bed. If the student is part of a roommate group, you will have the option to assign the entire group at once.

Filter and Compare Available Spaces

A list of available spaces for the selected cycle will display. Use Room View or Suite View to change the display, and confirm the correct cycle is selected.

Click Filters to open additional options to narrow down available spaces.

Check the box next to any room or bed to Compare options side by side.

After multiple spaces have been selected, click Compare.

The Comparison screen allows you to review multiple spaces side-by-side to help determine the best fit. If the student is already assigned to a room, their Current Bed Assignment will also appear to assist with the comparison.

When finished, click X to exit the comparison.

Individual Assignments

When assigning an individual applicant, the system will indicate if any rules are violated below the room's name.

Hover over the rule violation icon to view the specific rules that would be violated by the assignment.

Group Assignments

Group assignments work similarly to individual assignments but allow you to create multiple assignments at once through a single action. You can only assign an applicant to one suite and not across multiple suites.

Hover over the rule violation icon to view the specific rules that would be violated by the assignment of the roommate group.

Assign Bed(s)

After identifying a space, click Assign on your selected room/suite.

In the assignment window, use the Room and Bed dropdowns to place each student into a specific bed.

Groups can also be placed directly into specific rooms and beds within a room or suite. This allows admins to control exact placements and ensure students are assigned to the correct spaces.

Once all beds are assigned, click Next.

If there are any rule violations, you will be prompted to review them once more.

Note: This screen will also indicate if not rules are violated, further affirming confidence in the assignment(s).

If acceptable, check the box to Ignore Rule Violations and click Next to proceed.

On the Charges & Fees screen, review the automatically populated room charges. Click a student’s name to review or modify charges at the individual level.

Note: If a charge is added to one student, it will not automatically add to another.

To add an additional charge (e.g., a Residential Services Fee), click Add a Charge.

To prorate charges for early move-ins or late move-outs, check the Prorate option and adjust the dates.

After adding the necessary charges, click Next.

Review the Confirmation screen, which summarizes the new assignment(s), charges, and dates associated with the assignment(s)

When everything looks correct, click Confirm to finalize the assignment and generate charges.
