Manage and Edit System Notifications

Last updated: October 5, 2026

System notifications help students and administrators stay informed about housing activity as it happens. These messages are automatically triggered by specific actions—like submitting an application or receiving an assignment—and include a title, summary, and redirect link that guide the user to the right place in the portal.

Admins can control which notifications are active, customize their content, and adjust delivery settings to fit institutional needs.

Access the Notification Settings

Navigate to the Communication section of the Admin Portal and select Notifications Management.

This page lists all system-generated notifications currently available, organized by type.

Understand Notification Types

Each notification belongs to a broader category based on the type of system action it responds to—for example, application updates or assignment changes. Standard notifications are prebuilt and linked to specific triggers.

Admins can adjust their content, delivery method, and priority, but not the system trigger itself. Learn more about notification types and their triggers here.

Preview a Notification

Click Show Preview on any notification to view its details.

The preview displays the full message that students or admins will receive, including variables and redirect paths.

Edit a Notification

Click Edit on the notification card to make changes.

From here, you can update the message content, adjust delivery methods, change the priority level, or temporarily mute the notification.

Note: Notification titles cannot be edited.

Update the Notification Status

You can enable, disable, or mute any system-generated notification.

  • Enabled – Sends automatically when the associated action occurs.

  • Disabled – Will not send, even if the triggering action happens. Actions taken while a notification is disabled will not retroactively send once if re-enabled.

  • Muted – Temporarily paused; new notifications will resume automatically on the date you select.

Let me know if you want to drop this into the article or adjust the language further.

Mute a Notification

Muting a notification lets you pause it temporarily and choose a reactivation date. This is useful when completing behind-the-scenes updates and avoiding unnecessary student messages during that time.

Edit the Priority

Notification priority determines how quickly messages are delivered.

  • Urgent – Sends emails and in-app notifications immediately after the triggering action

  • High – Sends e-mails and in-app notifications in the next scheduled batch, every 15 minutes

  • Medium – Sends in-app notifications in the next scheduled batch, every 15 minutes. E-mails delayed and will send every hour, on the hour.

  • Low – Sends in-app notifications in the next scheduled batch, every 30 minutes. E-mails delayed further and will send every day.

Adjust Delivery Methods

Each notification is assigned an email and/or in-app delivery method by default. You can update this based on your campus communication preferences.

Examples: Use in-app only for less urgent updates, like new form to fill out. Use email for critical actions that may require follow-up, like task updates.

Edit the Description

You can update the body of a notification to reflect your institution’s tone, instructions, or terminology.

Note: Currently, only the system-default variables can be used in the message body. These ensure accuracy and compatibility with the triggering action.
