Create and Edit Room or Bed Variations
Last updated: October 5, 2026
Room and bed variations help categorize inventory and determine how housing assignments are priced and organized. Room variations describe the structure or type of a space (e.g. Double Room, Staff Suite), while bed variations control billing by linking beds to charge codes.
All variations are created and managed in the Inventory Management section of the Admin Portal.
Access Inventory Variations
Navigate to the Setup section of the Admin Portal and select Inventory Management.

Click the Inventory Variations.

All previously created variations will appear in this view. Variations can be edited, deactivated or reactivated, and media can be added after creation.

Create a Room Variation
Click Create Variation and select Room.

Add the variation details.

Enter a Name for the variation. This will be visible to students in the Resident Portal.
Set a Max Occupancy, which controls how many beds can be assigned to rooms using this variation.
Optionally, assign one or more Tags — these will be automatically applied to any room that uses this variation.
Click Save to create the room variation.

Create a Bed Variation
Click Create Variation and select Bed.

Add the variation details.

Enter a Name for the bed variation.
Select a Charge Code to ensure the correct billing is applied when a student is assigned to this bed.
Optionally, enter a Rate Code — this field is only required for certain institutions using an Ethos integration.
Click Save to create the bed variation.

Edit Variations
Click the three-dot icon (⋮) and select Edit to access variation options.

Deactivate or Reactivate Variations
Click the three-dot icon (⋮) and select Deactivate or Reactivate depending on the current status of the variation.

Deactivated variations will display a Deprecated tag and will no longer appear as a selectable variation in Inventory menus.

Active variations do not display any status tag.

Add Media to a Variation
Once a variation has been created, you can attach images or floor plans to improve visibility in the Admin Portal and Resident Portal.
