Using Variables in Communications

Last updated: October 5, 2026

Streamline your campus housing communication with variables! Easily send personalized messages to hundreds of residents at once, tailored with specific details like their name, room number, and move-in time. Whether you're welcoming new students, sending important housing reminders, or announcing upcoming events, this tool simplifies the process, ensuring that each message feels personal and timely.

See An Introduction to Variables in Communications for an in-depth look on this powerful feature.

See Create and Edit Communication Templates for a detailed look at creating templates.

1. Click Communications on the navigation panel.

2. Click Templates from the sub-menu.

3. Either create a new template by clicking Add Template, or edit an existing template by clicking the template name.

4. Click the Variables icon to bring up the search function.

5. Type a key word related to the variable you would like to insert, such as a student's preferred name.

6. Click the variable from the list of options.

7. Click Insert to add the variable directly into your communication body.

8. Variables insert placeholder text as {{TEXT}}. This placeholder text should not be manipulated to ensure proper use. This placeholder text can be formatted like any other text, such as being bolded or hyperlinked.

9. Click Save to finalize communication and the inserted variables.

10. Once a communication is sent directly to a resident, the placeholder text will be replaced with the appropriate data from the resident's profile.
