Why is my Occupancy file export not showing any records?

Last updated: August 28, 2026

If your Occupancy export is returning no records and appears empty, it’s often due to one of the following scenarios:

Completed Terms

Once a housing cycle reaches its end date and is marked complete in Housing.Cloud, it will no longer return data in your Occupancy file — even if students were previously assigned housing during that term.

Upcoming Cycles Without Assignments

Having an active or upcoming housing cycle does not guarantee Occupancy records will appear. If students have not yet been officially assigned housing in that cycle, there are no records to export.

This is especially common for institutions that delay assigning students until later in the year. For example:

The Spring cycle has ended, so Housing.Cloud no longer includes Spring assignments in the Occupancy file. The Summer cycle is active, but housing assignments have not yet been created. Since no active cycle contains any residency records, the Occupancy export will be blank.

What to Check

  • Confirm that at least one housing cycle is currently active and contains residency assignments

  • If no students have been assigned in an active cycle, create assignments first before exporting Occupancy data

  • Double-check the cycle end dates to ensure you’re not requesting data from a completed term
