Why Can’t I Change My Forms in a Housing Cycle?
Last updated: August 28, 2026
Once students begin submitting applications, Housing.Cloud locks the forms tied to that housing cycle. If you’re trying to add, remove, or adjust a form mid-cycle and find that you’re blocked, it’s by design. These restrictions help maintain stability, ensure accurate assignments, and preserve system logic.
Why Forms Are Locked After Applications Start
As soon as the first application is submitted, the system freezes form configurations for that cycle. This includes both the Application Form and the Roommate Questionnaire.
These restrictions exist to protect the integrity of the housing process. Changing forms mid-cycle risks disrupting automation, misaligning data, and introducing confusion for students who may be seeing different versions of the same process.
Even edits that seem minor, like toggling a field or attaching a questionnaire, can impact logic rules or matching workflows. Locking form edits ensures that all students in the cycle interact with a consistent, stable application experience.
Common Scenarios
If you’re trying to make updates and finding options unavailable, you’re likely encountering one of these locked configurations:
Adding a Roommate Questionnaire After Applications Begin
Even if Roommate Selection hasn’t opened yet, you can’t attach a questionnaire once any application has been submitted. This applies even if you delete or re-add phases. Once submissions exist, the form structure is locked.
Requirements for a Roommate Questionnaire to Appear
To use a Roommate Questionnaire in a housing cycle, a few setup conditions must be met before applications open:
-
The cycle must include a Roommate Selection phase. This enables the option to attach a questionnaire.
-
The form must be created using the Student Questionnaire form type. Other types, like Additional Forms, won’t appear as options.
-
No students can have submitted an application. The system only allows questionnaire selection while the cycle is in pre-submission status. If no questionnaire was selected, the system locks the form as “N/A.”
Removing or Changing an Existing Questionnaire Mid-Cycle
If a Roommate Questionnaire is already attached, it can’t be removed or edited once the cycle is underway. This helps preserve student records and avoid issues with roommate matching.
Swapping or Editing the Application Form
Once an application form is published and students begin applying, it can no longer be changed. The form itself is locked for editing—this includes questions, formatting, and conditional logic. You also won’t be able to swap in a different form entirely. The system ties the originally published form to the housing cycle to keep all submitted applications consistent.
Suggestions for Follow-Up
Housing.Cloud is unable to swap forms on your behalf once applications are submitted. This safeguard protects the structure of the cycle and ensures data integrity across your student records. For this specific cycle, you may need
