Troubleshoot Room Visibility Issues During Selection

Last updated: October 5, 2026

If a student reports that they can’t see a specific bed, room, or suite during self-selection, the most common reason is a hard rule blocking their access based on their profile, application, or roommate group.

Even if a room appears “available” in the admin portal, students will only see it in the Resident Portal if they fully meet the ruleset criteria defined for that housing cycle. Learn more about rulesets here.

Check for Rule Violations

Open the student’s Application in the admin portal. On the student’s application, scroll down to Current Assignment.

Click Assign Bed. If the student is part of a roommate group, you’ll be able to review potential rule violations across the entire group.

Search Your Inventory

Use the filters to search for the building, room, or bed the student is trying to access.

If the space is not visible to the student, hover over the rule violation icon (ⓘ) to see which eligibility rules are not met. If a student is in a group, each group member and their rule violation will appear on this screen.

Recommended Follow-up

If a ruleset violation is preventing a student from seeing a space, consider the following options:

Review the Ruleset

Determine if the violated rule is truly necessary for your process. If not, consider editing or removing the rule from the housing cycle’s ruleset.

Review Tags

Confirm that both the student and the room are tagged correctly:

Is the room, suite, or building incorrectly tagged?

Is the student tagged properly through their profile or application?

Consider Manual Assignment

If this is a one-off situation and the ruleset should remain unchanged, manually assign the student to the space. This maintains consistency in your process while allowing flexibility for individual cases.
