Override Bed Type Costs

Last updated: August 28, 2026

Override Bed Type Cost lets admins customize the charge code and amount billed for specific bed variations within a housing cycle. It’s a flexible way to adjust pricing or disable billing at the cycle level without altering your base setup.

By default, each bed variation has a charge code and cost configured at the system level. Using this override, you can adjust those values for a single cycle, such as creating summer rates, winter break pricing, or temporary billing exceptions, without changing other cycles or your default configuration.

How Overrides Affect Student Billing

Changing a bed variation’s charge code or amount affects only new billing actions created after the change. Students who were already assigned to that bed before the override will continue to follow the original billing rules. New assignments made after the update will use the custom code or amount that is currently active.

If you make additional changes later, those will not retroactively adjust previously billed transactions. Overrides function as forward-facing billing rules, meaning they determine how new charges are created from that point forward. If you need to correct earlier billing, those changes must be made manually per transaction.

Access Cycle Settings

Overview of Override Configuration

The Override Bed Type Costs page allows you to adjust how your bed variations are billed within this cycle.

From here, you can:

  • Change the default charge code to a custom code.
  • Enter a custom amount to charge students.
  • Apply both a custom code and a custom amount to the variation.
  • Disable auto-billing]] for a bed variation if you do not want the system to post charges automatically during student self-selection.

Any variation with adjustments will display a Modified label. Beds with billing disabled will display a Disabled label.

Disable Auto-Billing

Disabling auto-billing prevents the system from automatically posting charges for a specific bed variation.

Click the Custom Code selector next to the bed variation you want to adjust.

From the dropdown, choose Disable Auto-billing.

The bed variation will now show a Disabled label and indicate that auto-billing is disabled for this bed type.

Assign a Custom Amount

You can change the default rate for a bed variation without modifying its charge code.

Click the Amount field next to the bed variation and enter the new amount you want to charge.

The variation will now display Will Bill As, showing the charge code for that variation and your new amount. The variation will be marked with a Modified label.

Assign a Custom Code

Just like disabling auto-billing, click the Custom Code dropdown and select the new charge code.

The variation will update to show Will Bill As, reflecting the new charge code and amount and will also will be labeled Modified to indicate changes from the default configuration.

Save and Review Changes

Click Save and confirm your edits. The system will update the bed variations and lock in your overrides for the selected cycle.

Note: These overrides apply only to the selected housing cycle and will not carry forward to future cycles.

You can review all modified or disabled variations directly on this screen.
