When to Cancel, Move Out, Change, or Transfer a Residency
Last updated: October 5, 2026
Residency actions are designed for different scenarios. Four of most important to understand are Cancel Residency, Check-Out, Swap Residency, and Change Room. Each action updates the residency status to signify the change that occurred. Knowing when and why to use each action keeps your occupancy counts accurate, ensures billing is correct, and preserves clean records for your students.
These actions can feel similar at first glance, but they serve very different purposes. This article explains how each one works, what status it creates, and the situations where it makes the most sense to use it.
Check-out a Residency
- Action: Check-Out
- Status: Moved Out
Moved Out is used when a student departs their assigned space, usually at the natural end of a term, and you want to log that departure without changing the residency dates.
- The residency continues to show its original start and end dates.
- The student is marked as Moved Out.
- The bed may not be available for reassignment as the residency dates have not been adjusted.
Example: At the end of spring, a graduating senior checks out. The residency shows Moved Out and a check-out date is logged, but the residency dates remain the same.

Cancel a Residency
- Action: Cancel Residency
- Status: Canceled
Cancel is used when a student will not remain in housing for the rest of the cycle. Canceling can update the residency end date and make the bed available for reassignment.
- The effective cancellation date becomes the new end date.
- The residency shows is updated to Canceled across the system records.
- Optional: After canceling, you can add a check-out date to record when the student physically left.
Example: A student assigned to a fall contract withdraws from housing in September. Canceling their residency ends the record and reopens the bed.
Transfer a Residency
- Action: Change Bed or Swap Residency
- Status: Transferred
Transferred applies when a student is moving to another space on campus. This happens automatically when you use the Change Bed or Swap Residency actions.
- The old residency is ended and is updated with the Transferred status
- A new residency is created for the new assignment.
- Optional: After transferring, you can add a check-out date on the old residency to reflect when the student actually vacated the space.
Example: A student moves from a triple to a single mid-term. Their triple ends as Transferred, and a new residency begins in the single as Assigned.

Things to Watch
Because these actions also update the bed status, they directly affect availability:
- Cancel frees a bed immediately.
- Transfer ends one residency and starts another
- Moved Out logs departure, but the bed may remain unavailable until the residency’s contract end date.
Adding a check-out date after a Cancel or Transfer can help reflect the student’s actual departure while still preserving the correct residency status.
Common Scenarios to Avoid
- Canceling instead of transferring: This ends the record with no link to the new space, which disrupts billing and reporting. Always use Change Bed or Swap Residency if the student is moving to another room to connect the dots.
- Using Moved Out mid-term: This may make it appear that the student remained in housing through the contract dates, even if they left early. Use Cancel instead if they are leaving housing entirely before the end date.
-
Forgetting to log a check-out date: Adding this detail after Cancel or Transfer creates a clearer picture of when the student actually left, which can support occupancy reporting.
Why It Matters
These residency actions do more than update records in Housing.Cloud. They can also affect how your student information system (SIS) interprets a student’s housing status when data flows through an integration layer such as Ethos.
- Different SIS platforms may handle statuses differently, which can trigger specific billing or reporting processes.
- A canceled residency may close out charges, while a moved out record may still hold billing until the contract end date.
- Transfers often update financial and occupancy records in a way that preserves continuity, but using the wrong action can create gaps or duplicate entries.
Because of these downstream effects, choosing the right action in Housing.Cloud helps ensure accurate billing, reporting, and student records not just in our system but in your SIS as well. Each institution may handle these statuses differently. If you have any questions about your integration, reach out to your institution’s SIS manager for more information and support.
