How Cycles Move To A Past State
Last updated: August 28, 2026
A housing cycle becomes "past" when its end date passes. This is a straightforward date-based transition that affects how admins see applications, residencies, meal plans, and reports across Housing.Cloud. The cycle and all its data remain fully intact—nothing is deleted or archived. Past cycles simply stop appearing in default admin views, and you need to explicitly enable them using a filter.
This article explains how the end date determines when a cycle becomes past, which admin areas are affected, and how to surface past cycles when you need to reference historical data.
When a cycle becomes past
A cycle becomes past based solely on its end date—the date and time you configured in cycle settings that represents when the housing term concludes. There is no manual toggle, status setting, or other mechanism involved.
The transition happens at the exact moment the end date time passes:
- Before the end date and time, the cycle is current
- After the end date and time passes, the cycle is now past
Example: If your "Fall 2025 Housing" cycle has an end date of December 15, 2025 at 9:00 PM, the cycle is current until 9:00 PM on December 15. At 9:01 PM that same evening, it becomes past and disappears from default admin views.
Mid-day transitions are possible: If you set the end date time during business hours—for example, 11:00 AM—the cycle will disappear from default views mid-morning. This is expected behavior, not a bug. If you want a cycle to remain visible through the entire final day without disruption, set the end date time to late at night (such as 11:59 PM).
How past status affects admin visibility
When a cycle becomes past, it disappears from default views in several admin areas. This filtering is designed to keep active work front-and-center while preserving full access to historical records.
Admin areas affected by past cycle filtering
Default views in these areas show only current and future cycles:
- Applications and application reviews: The applications table filters out past cycles by default
- Residency records and room assignments: Residency views hide assignments from past cycles
- Meal plan management: Meal plan interfaces default to active cycles only
- Exports: Reporting screens exclude past cycles from default filters
- Setup > Cycles: The cycle management list also filters out completed cycles by default
Data is preserved: When a cycle becomes past, nothing is deleted, archived, or modified. All applications, residency records, meal plan selections, and other cycle data remain fully intact. The only change is that these records no longer appear in default list views.
The Show Past Cycles filter
Most affected admin areas include a Show Past Cycles control near the top of the list view, alongside other filter options. This control may appear as a toggle or checkbox depending on the screen.
How the filter works
Enabling Show Past Cycles refreshes the list to include cycles whose end dates have passed, along with all their associated records. The filter does not modify any data—it only changes what is displayed.
The filter is not saved between sessions. When you navigate to a different screen or start a new session, past cycles will again be hidden from default views. You need to re-enable the filter each time you want to see past cycle data.
Common scenarios
Looking up a student's previous room assignment
When you need to verify where a student lived during a prior term, navigate to the Residencies section and enable Show Past Cycles. Search for the student by name or ID. Their residency records from past cycles will appear alongside current assignments, showing building, room, bed, dates, and status.
Troubleshooting why a cycle seems to have disappeared
If a cycle you expect to see is missing from an admin list view, the most common cause is that the cycle's end date has passed. Navigate to Setup and open Cycles to check the end date of the cycle in question.
If the current date and time are after the cycle's end date, the cycle is now past. Return to the admin area where you couldn't find it (such as Applications, or Residencies) and enable Show Past Cycles. The cycle and its records will appear.
Always check the cycle's end date in cycle settings when a cycle seems to have vanished. This confirms whether the visibility change is due to the past-cycle filter or another issue.
