@Mention a Colleague in a Comment

Last updated: October 8, 2026

Type @ in a task comment and start a name to pull a colleague into the task. They get a "You were mentioned in a task" message by email and in-app, and they're added as a subscriber, so they hear about everything that happens on the task afterwards.

Mention someone

Open the task and go to the comment box. Type @ and the start of a name, then pick the person from the list. The comment box itself shows the tip: use @name to mention and notify other admins.

Post the comment with Submit. The name you picked appears highlighted in the posted comment.

Where you can mention residents

In an internal note you can mention staff only. In a public reply you can also mention a resident, if you hold the Ability to configure task settings permission.

What the person receives

The person mentioned gets "You were mentioned in a task" by email and in-app. The message shows the first 100 characters of the comment and a link to the task.

They become a subscriber

Someone you mention is also added as a subscriber, so they hear about everything that happens next on the task, not just the one comment. If they only needed to see one note, remove them from View subscribers.

Sensitive comments

In a comment marked Contains Sensitive or Personal Information, only people with Read access to sensitive notes are told about the mention. Everyone else you mentioned is still added as a subscriber, but they receive no message about the comment itself.

Mentions that notify nobody

Mentioning yourself sends nothing. The rejection reason box on an approval decision also accepts @names, but nobody is notified from it.

Good to know

  • People you @mention stay subscribed until you remove them, even when a sensitive comment meant they weren't told about the mention.
